NMBU uses the CRM system Mira to handle its events, its alumni activities and to keep in touch with other internal and external stakeholders interested in the university.

The privacy policy consists of three parts. The first part deals with NMBU's alumni activities, the second part with events at NMBU and the third part deals with NMBU's handling of other stakeholders.

Information about those who have registered with NMBU Alumni, event participants and other stakeholders is handled in the same CRM, but in different ways.

  • NMBU Alumni is a network for former students with an exam from NMBU. Former exchange students, post docs, staff and current students are also part of the alumni network.

    For NMBU, collaboration with alumni is about strenghtening society, NMBU's identity and ensuring close contact with national and international working life, business and society. NMBU's alumni constitute a special resource for NMBU and NMBU constitute a lifelong resource for the alumni. The collaboration must be sustainable and based on mutual benefit for our alumni and NMBU.

    NMBU uses the system Mira in our work with our alumni network.

    About the privacy policy 
    This privacy policy explains how NMBU Alumni both handles and uses out alumni's personal data. The knowledge you give us about yourself makes it possible for us to offer you a lifelong relationship with NMBU- for as long as you wish. At the same time, NMBU Alumni can use your personal data to provide you with relevant information about activities, research news and collaboration opportunities.

    We are committed to protecting your personal data and being open about what information we store. The following privacy policy describes how NMBU uses your personal data for collaboration with alumni in particular. The purpose of this privacy policy is to inform you about what personal data is processed, how it is processed, who is responsible for the processing, what rights you have and who you can contact if you have any questions.

    What is considered personal data? 
    Personal data is all forms of data, information and assessments that can be linked to you as an individual. The deciding factor for whether a piece of information is personal is whether it can identify a concrete person.   

    The purpose of the processing 
    The personal information collected by NMBU is processed for a number of mutual purposes which are intended to strengthen the relationship between you and NMBU.

    This is done through customized inquiries and relevant information. For example, the processing of personal data in NMBU's alumni system is necessary for NMBU Alumni to contact you with:

    • general member information (updating information, information about opportunities and services available to you)
    • newsletter from NMBU Alumni (with research news, information on further education, invitations to professional events organized by NMBU and NMBU's partners, alumni news and other updates from NMBU, based on your custom preferences which can be adjusted on your alumni page).
    • invitations to social and cultural events organized by NMBU and NMBU's partners.
    • invitations to participate in open network groups (for example interdisciplinary groups).
    • requests for collaboration (based on your engagement consents).
    • requests to participate in surveys (for example, surveys about NMBU's study offer, relevant collaboration opportunities, etc.).
    • further education offers (of relevance to your background).

    We always seek to ensure that all opportunities we present are adapted to your consents and interests.

    The legal ground  
    NMBU Alumni's processing personal data is based on your active consent. This means that you can withdraw or change your consent at any time by editing your profile. 

    What personal data is processed?  
    We store information related to you obtained from several sources.

    A significant part of the information we store about our alumni is information you give us yourself (for example, you can give us information by filling in your profile in the alumni portal, or via phone, e-mail or social media).

    Based on contact information from our student register, all candidates who take credits at NMBU will be invited into the alumni network. If you do not want membership, your contact information will be deleted. 

    If you are a student or alumni from NMBU, some of the information about you is transferred from NMBU's student register (FS) to the alumni system when you become a member.

    Categories of personal data that are collected and used are:

    • Contact information
    • Educational information
    • Job information
    • How you want to interact with NMBU

    How long do we store your personal data?   
    After you are registered as an alumni, we keep your personal data in the CRM system, to support your lifelong relationship with NMBU, unless you ask us to do otherwise. Upon deregistration or if we receive information about a death, personal data about you will be deleted. 

    How do we protect your data?  

    • We use a subcontractor who is responsible for the technical data processing. Mira Network AB is our partner and data processor.
    • The data processor shall, in agreement with us, process your personal data in the manner we decide and in line with the privacy regulations. We instruct the data processor to ensure proper information security, and that the personal data they process for us cannot be transferred to others without our consent.
    • The personal information will only be used by NMBU and will not be able to be sold or transferred to a third party, so this is not stated by law.
    • We do not share personal contact information without your prior consent.

    Your rights 
    We always handle your personal data securely, and it should not cause any inconvenience for you that your personal information is used in our work. We emphasize that providing us with your personal information is voluntary.

    You have the right to: 

    • access all personal information registered about you in NMBU's alumni system and at NMBU in general.
    • be informed about how we process your personal data.
    • to have incorrect personal information about you corrected.
    • to have incomplete personal information about you supplemented.
    • to limit how we use your data.
    • to demand that we delete your profile.

    Access to the information about our Alumni 
    We work closely with the academic communities to give our alumni an approach as coordinated as possible. The academic communities have access to NMBU's student register (FS) and can contact our alumni directly. Each academic community has its own procedures and relates to NMBU's general privacy policy. In addition, we share data with board members for our local alumni network and representatives of academic groups.

      

  • A number of different events are organized at NMBU. This can be, for example, seminars, conferences, guest lectures and social gatherings.

    NMBU uses the system Mira in our work to manage the various NMBU events.

    When NMBU invites to an event, we sometimes need information about the participants. Our guests provide information about themselves voluntarily when signing up/registering for participation. The knowledge you give us about yourself makes it possible for us to carry out the event.

    Categories of personal data that are collected and used are: 

    • Name
    • Contact information
    • Payment information
    • Information about your work

    How long do we store your personal data?  
    All personal information of event participants is anonymized after one year, unless you yourself have agreed that we can keep your contact information to inform about similar events or news within a specific subject.  

    How do we protect your data?  

    • We use a subcontractor who is responsible for the technical data processing. Mira Network AB is our partner and data processor.

  • There are internal and external stakeholders who want to keep in touch with the university for various reasons. It can e.g. be if you want to stay informed about what is happening within a specific subject area, want to keep up with events at the University Library, receive general news from NMBU, or want to follow the development of Campus East.

    In all cases, interested parties register their interest in the form of a registration form. Often this is a form that leads to a newsletter subscription.
